Greyhound Corporate - Executive Assistant

Responsible for the daily administrative activities and needs of the Vice President of Operations.  Has access to and handles highly confidential company information.

 

RESPONSIBILITIES: 

  • Telephone support: answers phones, screens calls, directs callers to the appropriate contact, routes calls to the appropriate individual/department, takes messages and answers questions.  Coordinates conference calls
  • Composes and types letter/memos and prepares presentations and reports.
  • Manages calendars and coordinates schedule with other executive staff and administrative assistants
  • Coordinates travel arrangements. Negotiate rates with outside vendors for meeting venues, catering, travel etc.
  • Develops and maintains project files, office files and records.
  • Prepares invoices, expense reports for management approval
  • Responds to customer concerns/complaints in a timely manner
  • Performs all other duties as assigned

 QUALIFICATIONS: 

  • Some college or associate degree preferred
  • 5 years previous administrative assistant experience
  • Proficient in Microsoft Office (Word, Excel, Powerpoint) and Outlook
  • Typing speed of 50 wpm
  • Ability to maintain all types of records
  • Ability to work independently, and with a team
  • Ability to maintain confidentiality of materials
